Configuring the asset procurement flow

Before you start

This page focuses only on how to configure that flow using an existing Advanced Link field. If you haven’t yet read about how asset procurement works in practice, start here: Assets Procurement. It explains the concept, customer and agent views, and what the final result looks like.

This guide does covers the configuration adjustments to an already existing Advanced Link field. If you need guidance on creating or configuring link fields, see our guide on Advanced Links configuration.

Asset procurement automation

Open the Advanced Link field configuration and go to the Data logic tab.

Scroll down to the section called Asset procurement and select the checkbox Enable asset procurement automation.

Once enabled, additional configuration fields appear for defining how procurement details will be stored. You’ll now see several fields that determine how new asset records are created when agents process requests.

Serial number: A mandatory field. Select a Text field that will store the asset’s unique serial number.

Procurement date: Select a Date picker field where the purchase or assignment date will be stored.

Price: Select a Number field that stores asset prices.

Currency: Select a currency that defines in which currencies the values from the Price fields ought to be displayed. The currency symbol will appear next to the price in the catalogue.

Once all fields are mapped, click Save.

Result

When asset procurement automation is enabled, these mapped fields will appear in the Add ordered asset dialogue that opens when the agent clicks the marketplace icon in a request.

When the agent completes and submits the dialogue:

  1. A new work item (asset) is created automatically, using the selected model as a template.

  2. The original asset model is unlinked from the request.

  3. The newly created asset is linked in its place.

Choose which fields customers see in the catalogue

You can also control the details shown to customers while browsing the asset catalogue in the Customer Portal. The fields you select appear as columns in table view and as attributes on cards in grid view.

  1. To configure go to the Customer Portal tab.

  2. Click on themenu icon → Edit.

  3. In the Fields to show multi-select to choose the fields you want displayed to customers.

  4. Click Save.

Result

In table view (the default), the selected fields render as columns alongside the work item summary.

In grid view, the same fields appear on each card to provide a concise spec at a glance.
