Link Indexing

Indexing in the Incoming Links app ensures accurate and up-to-date incoming link information for Confluence content. Here’s how it works:

What indexing does:

  • The app reviews Confluence content (pages, blogposts, comments) to identify links pointing to Confluence pages.

  • An indexing catalogue in the app’s database to store this link information.

App user

Indexing is performed by the app user, named STAGIL Incoming Links for Confluence Cloud.

When you install the app for the first time, such app user is automatically created to manage the application’s functionality. This user is granted the following permissions:

  • View – Permission to see (browse/read) pages or spaces.

  • Edit – Permission to update or modify existing pages.

  • Delete – Permission to remove pages or other content.

  • Administrator – Permission to adjust space or site settings, manage users, or perform other administrator-level tasks.

  • Act as User – Permission for the app to operate or perform certain actions as if it were a specific user (often needed for automations and integrations).

All of these permissions are assigned automatically on installation. They ensure the app can carry out its tasks — such as indexing, content updates, and administrative operations — without requiring a personal account to be logged in.

Permissions required for indexing

Indexing is performed by the app user, named STAGIL Incoming Links for Confluence Cloud. SILCC’s indexing process respects Confluence page restrictions and will not index content that is unavailable to the app user. This user must have view permissions for all Confluence spaces pages in which need to be indexed.

Edge case: When a restricted page is created and contains one or more links, the app may index it through a fall-back property-based mechanism, rather than the standard indexer. As a result, this page—and any links within it—can appear in the macro’s results for users who have the proper permissions to view the restricted content.

When to run indexing?

Indexing is required after installing or reinstalling the app.

Existing page index is automatically updated whenever content is updated, e.g. page with link is published.

How to run indexing?

  • Admins can access the indexing page in Confluence administration.

  • See STAGIL Incoming Links, and then Incoming Links indexing in the administration sidebar.
