Template Visibility and Permissions

All users can open the Template Library to browse existing templates, but each template has its own visibility settings that determine who can see or use it.

Default Visibility

When you create a new template, its visibility is set to Private by default. This means that only the template creator can see and use it.

Viewers

  • Private: Only the template creator can see and use it.

  • Public: All logged-in users can see and use it.

  • Group: Restricts access to specific Jira groups. Users in these groups can see and use the template, but others cannot.

If you share a template (making it Public or Group), users can see, use, and clone it. However, they can’t edit or delete it.

Editors

  • Private: only the template creator can edit.

  • User: add selected users can also edit.

  • Group: only users from selected Jira groups can edit.

  • Public: all logged-in users can edit.

A template is visible to all editors. If someone is an editor, they can find and open the template even if they are not mentioned as a viewer.

Changing Template Visibility

To update who can see your template:

  1. In the ‘Edit template’ dialog, select the ‘Details’ tab.

  2. Locate the Viewers section.

  3. Choose your preferred setting — Private, Public, or Group.

  4. If you select Group, add one or more Jira groups as needed.

  5. Click Save.

If a user does not have permission to view a template, they won’t see the Create & Link buttons for that template. This ensures that only authorised users can create issues based on templates they have permission to access.

Site administrators have automatic permission to view and manage all templates, regardless of permission settings.
