Sub-task templates

Sub-task templates

Subtask templates let you reuse the same set of sub-tasks every time you create a parent work item. Instead of adding the same checklist by hand, you define it once in a template and run it whenever you need it.

In Templates, there is no separate configuration type for “subtask templates”. Any template that uses a work type which supports sub-tasks can include them.

How to configure

When you configure a template and select a work type that can have sub-tasks, Templates automatically gives you an option to define them.

For a single parent work item, such as a story or task, when you select that work type as the default value, you will see the Subtasks tab in the dialog sidebar to add and prefill its sub-tasks.

For multi-level templates that start from an epic, you select the epic as the default value and switch to the Child issues tab.

There, you add child work items, such as stories or tasks, and define their sub-tasks directly in the hierarchy view.

How to apply sub-task templates

You can use subtask templates in two ways:

  • Create a new parent work item with its subtasks from a template

  • Add subtasks from a template to a parent that already exists

In both cases, the same single template can be used. The user simply chooses how they want to apply them.

Create a new item with subtasks

If you want to create a fresh parent work item together with all its subtasks, start the usual Use template flow:

  1. Select a template that includes subtasks.

  2. Check the default values for the parent and adjust them if needed.

  3. Confirm to create the parent work item and all configured subtasks.

Use this when you are starting new work and want the full structure every time.

Add subtasks from a template to an existing work item

If you already have a parent work item and only want to apply its subtasks from a template:

  1. Open the parent work item where you want to add the subtasks.

  2. Open the three-dot Actions menu.

  3. Select Apply template.

  4. In the Template field, choose the template you want to use, for example a release checklist.

  5. In the Actions field, choose how the template should be applied:

    • Update fields

Updates the parent work item fields with values from the template.

    • Create child issues

Creates the child work items (subtasks or deeper levels) defined in the template.
